1. Introduction
These Terms and Conditions govern the hire of photo booth services provided by Selfora Booths (“we”, “us”, “our”) to the customer (“you”, “your”).
By making a booking with Selfora Booths, you agree to be bound by these Terms and Conditions.
2. Booking and Payment
2.1 Booking Confirmation
A booking is not confirmed until a completed booking form has been submitted and the applicable non-refundable booking fee has been paid.
The following booking fees apply:
- Vintage Luxe Photo Booth: £200 non-refundable booking fee
- Magic Mirror: £99 non-refundable booking fee
- Audio Guestbook: £99 non-refundable booking fee
- Luxe Collection (Vintage Luxe Photo Booth + Audio Guestbook): £250 non-refundable booking fee
- Mirror Collection (Magic Mirror + Audio Guestbook): £250 non-refundable booking fee
Once the applicable booking fee has been received, the event date will be reserved exclusively for you.
2.2 Remaining Balance
The remaining balance must be paid in full no later than one month before the event date.
The booking fee forms part of the total booking price and will be deducted from the remaining balance.
Failure to make the remaining payment by the required deadline may result in cancellation of the booking and loss of the applicable non-refundable booking fee.
2.3 Payment Reminders
Selfora Booths may issue an invoice or payment reminder before the final payment deadline. It remains the customer’s responsibility to ensure that the full balance is paid by the required due date.
2.4 Late Payment
If the remaining balance has not been received by the payment deadline, Selfora Booths reserves the right to cancel the booking.
Where a booking is cancelled due to non-payment, the applicable booking fee will not be refunded.
3. Cancellation Policy
3.1 Non-Refundable Booking Fees
All booking fees are strictly non-refundable.
The applicable booking fee will be retained by Selfora Booths if the customer cancels their booking, regardless of the reason for cancellation.
3.2 Cancellation More Than 28 Days Before the Event
If you cancel your booking more than 28 days before the event date:
- The applicable non-refundable booking fee will be retained.
- A £100 cancellation fee will apply.
- If the booking has been paid in full, the remaining amount will be refunded after deduction of the applicable booking fee and £100 cancellation fee.
- If only the booking fee has been paid and no further balance has been received, no refund will be due.
3.3 Cancellation Within 28 Days of the Event
If you cancel your booking less than 28 days before the event date:
- No refund will be provided.
- The applicable booking fee will be retained.
- Where the booking has been paid in full, no further refund will be issued.
- Where the booking has not been paid in full, any outstanding balance may remain payable where permitted by applicable law.
3.4 Cancellation by Selfora Booths
In exceptional circumstances, Selfora Booths may need to cancel a booking due to circumstances beyond our reasonable control.
Where we are unable to provide the booked service, we will make reasonable efforts to offer an alternative date or suitable alternative arrangement.
Where no suitable alternative can be agreed, any refund will be dealt with in accordance with applicable UK consumer law.
3.5 Date Changes
Requests to change the date of a confirmed booking must be made in writing and will be considered subject to availability.
Selfora Booths cannot guarantee that the requested alternative date will be available. A date change will only be confirmed once Selfora Booths has confirmed availability and agreed to the change in writing.
Where an alternative date is available, the booking fee already paid will be transferred to the new event date and will remain non-refundable.
A date change is not considered a cancellation provided the alternative date is agreed and confirmed by Selfora Booths.
If no suitable alternative date is available, the booking will be treated as a cancellation and the cancellation terms set out in Section 3 will apply.
Any request to change the date within 28 days of the original event date may be subject to an additional administration or rescheduling fee, at Selfora Booths’ discretion.
If the new event date falls within a period where different pricing or additional charges apply, the Client will be responsible for paying any difference in price.
Date changes are limited to one change per booking unless otherwise agreed by Selfora Booths.
4. Client Responsibilities
You agree to:
- Provide accurate event information.
- Ensure suitable access to the venue for setup and collection.
- Ensure a safe operating environment for our staff and equipment.
- Obtain any permissions required from the venue.
- Provide access to a suitable mains electricity supply.
4.1 Venue Access and Setup Requirements
Selfora Booths requires a minimum of one (1) hour before the agreed start time to set up, test, and prepare the equipment.
This setup time is provided at no additional cost and does not form part of the booked hire period.
The Client is responsible for obtaining permission from the venue for the installation and operation of the equipment and for ensuring that an appropriate space is available.
The space provided must be:
- A minimum of 2.5 metres wide x 2.5 metres long x 2.5 metres high;
- Safe, level, and suitable for operation of the equipment; and
- Accessible for setup and collection.
The Client must ensure that a mains electricity supply comprising a single 13-amp socket is located within or immediately adjacent to the designated photo booth area.
Where suitable space, access, or power is not available upon arrival, Selfora Booths reserves the right to modify, delay, or cancel the service. No refund shall be due where such issues are outside our control.
Any delays caused by venue restrictions, lack of access, or inaccurate information may reduce the operating time of the booth without entitlement to a refund.
4.2 Damage to Equipment
The Client is responsible for any loss, damage, or deterioration of Selfora Booths equipment caused by the Client, their guests, contractors, or venue representatives, whether through negligence, misuse, or intentional acts.
This includes, but is not limited to, damage caused by:
● Improper handling of equipment;
● Spills, impact, or physical interference;
● Failure to follow instructions provided by Selfora Booths staff;
● Unsafe or unsuitable venue conditions.
Selfora Booths reserves the right to assess any damage and recover the full cost of repair or replacement of any damaged equipment. This may include associated costs such as loss of use, repair labour, or replacement hire where applicable.
5. Travel and Parking
5.1 Included Travel
Travel is included at no additional charge for events located within a 50-mile radius of our base in Stotfold, Bedfordshire (SG5 4TE).
5.2 Out-of-Area Events
For events located outside the included 50-mile radius, an additional out-of-area travel charge may apply.
Customers should contact Selfora Booths before booking to confirm whether any additional travel charges will apply.
Any applicable travel charges will be confirmed before the booking is accepted.
5.3 Parking
The Client is responsible for ensuring suitable parking is available for Selfora Booths staff and vehicles at or near the venue.
Where parking charges, venue access charges, congestion charges, or similar fees apply, these may be added to the booking cost and will be payable by the Client.
6. Equipment Use and Staff Welfare
The photo booths, audio guestbook, and associated equipment remain the property of Selfora Booths at all times.
The Client must ensure that guests use the equipment responsibly.
6.1 Staff Welfare and Conduct
Selfora Booths will not tolerate abusive, threatening, aggressive, discriminatory, or inappropriate behaviour towards any member of our staff.
This applies to the Client, guests, venue staff, contractors, or any other person attending the event.
Where such behaviour occurs, Selfora Booths reserves the right to immediately suspend or terminate the hire and remove its equipment from the venue.
In such circumstances:
- No refund will be provided;
- Any outstanding balance may remain payable where permitted by applicable law; and
- Selfora Booths shall have no liability for any resulting loss or disruption to the event.
6.2 Misuse of Equipment
We reserve the right to suspend or terminate operation where:
- Equipment is being misused;
- Guests are behaving dangerously, abusively, or unlawfully; or
- Our staff reasonably believe that continuing operation may cause injury, damage, or risk to persons or property.
No refund will be provided in these circumstances.
7. Damage to Equipment
The Client is responsible for any loss or damage caused to Selfora Booths’ equipment by the Client, guests, contractors, venue representatives, or other attendees through negligence, misuse, or intentional acts.
Selfora Booths reserves the right to recover the reasonable cost of repairing or replacing damaged equipment.
8. Service Interruptions
We will use reasonable care and skill to provide the services as booked.
However, we shall not be liable for interruptions caused by circumstances outside our reasonable control, including power failures, venue restrictions, internet connectivity issues, equipment failure, acts or omissions of third parties, or adverse weather conditions.
Where practical, we will take reasonable steps to minimise any disruption.
9.1 Customer Use
The Client and guests may use photographs taken during the event for personal purposes.
9.2 Marketing Use
Unless you notify us in writing before the event, Selfora Booths may use selected photographs, videos, and images from your event for marketing, advertising, social media, portfolio, and promotional purposes.
If you do not wish your images to be used for promotional purposes, you must notify us in writing before the event date.
9.3 Photo Delivery Disclaimer
Selfora Booths will use reasonable care and skill in capturing, storing, and delivering photographs and digital content from your event.
Where a digital gallery, digital download, email sharing service, online album, USB device, or other form of image delivery is included within your booking, we will make reasonable efforts to provide this within the timescales communicated to you.
However, due to the nature of electronic equipment and digital storage systems, Selfora Booths cannot guarantee that photographs or digital content will be free from loss, corruption, delay, interruption, or technical failure.
We shall not be liable for loss of images, failure of image delivery, printing errors, internet connectivity issues, software failures, equipment malfunctions, power interruptions, third-party platform failures, or other circumstances beyond our reasonable control.
9.4 Photo Quality and Guest Participation
Selfora Booths will use reasonable skill and care to provide high-quality photographs and a professional photo booth experience.
However, the quality and quantity of photographs may be affected by factors outside our control, including venue lighting, available space, guest behaviour, guest participation, venue restrictions, power supply issues, internet connectivity, and other unforeseen circumstances.
Selfora Booths does not guarantee:
- A minimum number of photographs, prints, or digital images;
- That all guests will use or participate in the photo booth experience;
- The appearance, pose, expression, or conduct of any individual in photographs; or
- That every photograph will meet the Client’s personal expectations or preferences.
No refund, compensation, or reduction in fees shall be provided due to low guest participation, guest absence, dissatisfaction with individual photographs, or where the number of photographs taken is lower than anticipated.
10. Intellectual Property
All intellectual property rights relating to Selfora Booths branding, website content, logos, designs, templates, marketing materials, software, and booth interfaces remain the property of Selfora Booths or its licensors.
Nothing in these Terms grants ownership rights to the Client.
11. Limitation of Liability
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by law, including liability for death or personal injury caused by negligence, or fraud or fraudulent misrepresentation.
Subject to the above, Selfora Booths shall not be liable for indirect, consequential, incidental, or special losses.
To the extent permitted by law, our total liability arising from any booking shall not exceed the total amount paid by the Client for that booking.
We shall not be liable for loss of profits, loss of business, loss of opportunity, or other indirect or consequential losses.
12. Personal Data and Privacy
Selfora Booths processes personal information in accordance with applicable UK data protection legislation.
Further information about how we collect, use, store, and protect personal information can be found in our Privacy Policy.
13. Complaints
Any complaint relating to our services should be submitted in writing within 14 days of the event date.
We will investigate the complaint and respond within a reasonable timeframe.
14. Force Majeure
Selfora Booths shall not be liable for failure to perform its obligations where such failure is caused by events beyond our reasonable control, including severe weather, natural disasters, fire, flood, industrial disputes, government restrictions, public health emergencies, transportation failures, or other circumstances beyond our reasonable control.
Where reasonably possible, we will attempt to agree an alternative date or suitable arrangement.
15. Governing Law
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
Nothing in these Terms affects any statutory rights you may have as a consumer under applicable UK law.
16. Acceptance
By submitting a booking and paying the applicable booking fee, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
